The role is the operational/system administrator and analyst for UKG Workforce Management at a hospital—responsible for configuration, security, integrations (Workday/payroll), reporting, testing, and optimization of a healthcare scheduling system, which is healthcare IT/digital health work.

Job Description:
As a member of the People Services portfolio and reporting to the Director of HCM Systems and People Analytics, the UKG Systems Operations Lead is responsible for the day-to-day administration, support, security, and operational management of SHN's UKG Workforce Management scheduling system. The Lead works collaboratively with operational leaders, Human Resources, Payroll, Information Technology, and Scheduling teams to ensure the scheduling system supports safe, efficient, and compliant workforce operations across the organization.
Over the next six months, the primary focus of this role will be maintaining stable UKG scheduling operations, managing system security and user access, supporting configuration changes, troubleshooting issues, ensuring data integrity, and providing operational support to end users while documenting opportunities and contributing to the development of a longer-term UKG optimization roadmap.
The Lead serves as the operational subject matter expert for UKG Scheduling, ensuring system configuration aligns with organizational policies, collective agreements, scheduling practices, and payroll requirements. The role is responsible for coordinating system updates, supporting testing activities, maintaining system documentation, monitoring integrations, and partnering with stakeholders to ensure reliable system performance.
Scheduling Operations and System Administration
Working closely with clinical operations, Scheduling Services, Payroll, HR, and IT, the Lead oversees the daily operation of the UKG scheduling environment. Responsibilities include managing security roles and user access, supporting schedule configuration and maintenance, monitoring interfaces, resolving production issues, coordinating vendor support, and ensuring system availability and data integrity.
The Lead develops operational standards, documentation, and support processes while providing guidance and training to managers, schedulers, and system users to promote consistent and effective use of UKG.
Reporting and Operational Analytics
Working collaboratively with the HRIS Specialist and HR Business Partners, the Lead supports operational reporting by leveraging UKG and Workday data to provide meaningful workforce insights. The Lead develops and maintains reports, dashboards, and operational metrics that support scheduling performance, staffing utilization, overtime management, vacancy monitoring, and workforce planning.
While the immediate priority is operational excellence and system stability, the Lead identifies opportunities to improve scheduling processes, system configuration, workflows, and user experience. The role participates in testing new functionality, evaluates enhancement requests, supports release management activities, and documents recommendations that will inform SHN's future UKG optimization roadmap.
The Lead works collaboratively across People Services, Clinical Operations, Payroll, and IT to ensure future enhancements align with organizational priorities, operational requirements, and collective agreement obligations.
